Associate - Administrative Services – HHDDA Operational Excellence

Within our commercial Insights, Analytics, and Data organization we are transforming to better power decision-making across our end-to-end commercialization process, from business development to late lifecycle management. As we endeavor, we are seeking a dynamic talent to be serve in the role of Human Health Digital, Data & Analytics (HHDDA) Operational Excellence Associate Admin Services.

In this capacity, this role will help HHDDA realize the aspiration for the Operational Excellence capability and will provide comprehensive shared services support and will report to Associate Director, Hub Operations and Delivery.

Specifically, the HHDDA Operational Excellence Associate Admin Services will:

  • Administrative duties including managing calendars; setting up and accepting meeting invitations; gathering and organizing pre-reads and background information for meetings when appropriate; and handling document creation, revisions, and proof-reading
  • Coordinate and book travel arrangements and food deliveries; prepare travel itineraries
  • Prepare expense reports in Comet, purchase orders and payment requests in Ariba or COMET – ensuring compliance with our company's guidelines
  • Ensure timely invoice processing and payments, monitoring payment schedule and payment tracking and issue resolution
  • Assist with memberships, training, updating and maintenance of process SOPs and distribution lists, etc.
  • Provide support and coordinate meeting logistics for team meetings, town halls, worldwide department summits and meetings with stakeholders, managing meeting timelines, coordinating working teams, and tracking budgets
  • Maintain and order departmental supplies
  • Support people experience and other operational excellence leads on any admin related tasks
  • Track and report on various department activities, such as employee recognition program reporting; analyze data and prepare charts, reports, and presentations, as needed
  • Manage third-party subscriptions and resources, including renewals and memberships for managers and the department
  • Help administer departmental SharePoint, MS Teams sites and Yammer channels to grant permissions, create, organize, and maintain files or folders, utilize metadata to keep content well-organized

Required Skills/Experiences

  • Required: High School Diploma
  • Preferred: Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
  • Minimum of 7 years of Administrative Assistant experience
  • Collaboration and Communication Skills must be at a level to effectively interact with our company's executives and internal/external stakeholders both on-site and remotely to maintain workflow
  • Ability to handle and prioritize multiple simultaneous assignments, managing to critical deadlines, with extraordinary attention to detail
  • Excellent communication skills with the ability to effectively interact with individuals at all levels of the organization
  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, OneNote, etc.) and enterprise communication and travel solutions (e.g., Microsoft Teams, WebEx).
  • SAP, Ariba and Concur experience processing: Expense Reports; Purchase Orders and Payment Requests, Vendor Add Forms, as well as the capability to run reports within SAP
  • Extensive experience performing administrative work that requires analysis, initiative, leadership, flexibility, tact and independent judgment and impeccable recordkeeping and record retention skills
  • Experience with event planning and coordination
  • Experience with department budgeting preferred
  • Ability to handle sensitive data with discretion and confidentiality
  • Capacity to adapt and work effectively within a variety of situations, and with various individuals or groups
  • Excellent organizational skills and ability to influence others to follow department SOPs
  • Displays innovative ideas and solutions and capacity to identify and eliminate redundant work efforts and inefficient processes
